This policy explains how Pentre Ffyddion Farm(“we”, “us”) collects and uses your personal information when you use this website. We only collect what we need to answer your enquiry and help with your stay, and we never sell your information.

What we collect

  • Booking enquiries.When you use our enquiry form we collect your name, email address, and the details you provide such as phone number, party size, dates, pitch preference, whether you’re bringing a dog, and any message.
  • Trip plans by email. If you ask us to email you a trip plan, we use the email address you give us to send it.
  • Virtual host chat.When you message our virtual host, whether on this website or on WhatsApp, the messages you send (and any photo or location you choose to share) are processed to generate a reply. On WhatsApp we keep a short rolling history of the conversation for about 24 hours so the host remembers the context of your chat, after which it is automatically deleted. Please don’t share sensitive personal information in the chat.

We do not use advertising or tracking cookies on this website.

How we use it

We use your information to respond to your enquiry and confirm availability, to send you the trip plan you requested, to answer your questions through the virtual host, and to keep the site secure. Our lawful basis is our legitimate interest in responding to you and running the site, and, where relevant, taking steps at your request before entering into a booking.

Who we share it with

We use a small number of trusted service providers who process data on our behalf:

  • Vercel — website hosting.
  • Resend — sending enquiry and confirmation emails.
  • Anthropic — powering the virtual host and trip planner.
  • WhatsApp (Meta)— delivering messages if you choose to chat with our host on WhatsApp. Your use of WhatsApp is also covered by Meta’s own privacy policy.

We don’t sell your information or share it for marketing.

How long we keep it

We keep enquiry details only as long as needed to deal with your enquiry and any resulting stay, and for a reasonable period afterwards for our records, then delete them. You can ask us to delete your details sooner at any time.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, and to object to how we use it. To make a request, just get in touch. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk if you’re unhappy with how we’ve handled your information.
